Supervisor Responsibilities:
Client Caseload:
You are expected to build/maintain a clinical caseload of about 60 sessions per week including the student’s caseload that you supervise.
Individual sessions are 30 minutes (1 session)
Group sessions are 60 minutes (2 sessions)
All client information should be put into the
Master Caseload and updated weekly - monitor not only your own but the students’!
All new client evaluations is approved by the supervisor prior to scheduling!
Onboarding Students/Employees:
italk requires that all students and employees undergo the Onboarding prior to starting. Education and clear set of expectations is crucial! It is very important to ask the student for their:
supervision preference (ex. very hands on, or more hands off? Ask for explicit examples of what they are looking for)
experience in writing (ex. evaluation reports, SOAPs)
client preference (ex. pediatric/adult/geriatric)
Students/new Employees need to know where they are in order to know where they’re going - help them understand where they are, and help them achieve their own personal goals at italk!

Observation:
The students/CFs are observed mostly through CCTV:
Guard Viewer (id & pass is received through the Director) available on phone/tablets
Should the student/CF require direct supervision and aid, the supervisor must make herself available on-site to:
observe/aid the session in the rooms
help with translation or other parent/caregiver interactions

Monitor students/CF’s schedule
Monitor SOAP notes
Scheduled events for supervision time
Your supervision needs to be made very clear on the iTalk Schedule to make sure the students know who is supervising for which clients. Color code them!
Google Drive:
The student’s Google Drive Folder should contain all students’ individual folders. Each folder should have:
Individual folders for each client (Last Name, First Name)
Provide on-site supervision and help regarding resources. Set up separate times to go over the Drive and create short term goals for the students to evaluate themselves on!
Weekly Meetings & Expectations:
All supervisors are expected to participate in:
Monday Team Meetings at 1PM - 2PM
- prior to the meeting, please write in the Team Meeting NotesWednesday Clinic Cleanings at 1PM - 1:30PM
Scheduled Individual Meetings with Students/CFs
Calipso:
All supervisors of Graduate Students must have their own Calipso account - please follow the appropriate university’s guidelines for supervision and clockhour approval.
Evaluation and Pre-Auth Reports:
It is the supervisor’s responsibility to support the students’ and CF’s towards independence in clinical writing skills. The protocol is the following:
After an evaluation is completed, the supervisor creates a task for the iTalk Student Space or the respective CF’s Space with a due date for the first draft of an evaluation or pre-auth report
The student/CF sends the report through the Google Chat Space or through email, and the supervisor provides comments & related feedback
The supervisor then updates the deadline on the task for the Final draft due date
The student/CF sends the report for final review
The supervisor approves
The student/CF sends the report to Reception Team for submission
Reception Team completes the task on the Google Chat Space and submits the report with Dr. Hwang’s signature
