italk’s Progress Check Week Protocol:
Caregiver education is extremely important. We want to support the caregivers as much as possible throughout the therapy process to better support progress and communication. Every 4 months, a Progress Check Week is held during the first week of: January, April, July, October.
Clinician Responsibilities:
Send out a BCC email (page 1) to all your clients regarding Progress Check Week including Zoom link two weeks prior (in the case of shared clients or group clients, MAIN clinician sends the email and follows up)
Confirm times, and location (online or in-person) and make sure it is reflected on SimplePractice as a session (only MAIN clinician should have it as a session, others will have it as an event - check rules in SimplePractice Protocol)
Send the caregivers an email (page 2) including the .pdf of the Goal Tracker individually to the parent/caregivers
Send confirmation to Reception Team through Google Chat space, if there is no confirmation, ask Reception Team to call/text to view email
Copy & paste goals from Goal Tracker to SimplePractice SOAP notes for easy retrieval
Reception Team Responsibilities:
Be in active communication with the clinicians through Google Chat Updates space
Receive confirmation of conference times from the clinicians - if no confirmation was given, communicate with the clinicians to send a reminder text directly to the clients/caregivers
Billing during Progress Check Week should be completed after the SOAP notes are completely filled to ensure accuracy
